3.2.4.3 Resource-specific scheduling functions

“Resource-specific scheduling functions” can be used to add user-originated schedules. In addition, schedules added using the “Work item management functions” and workflow tab, which are used for launching operations, are automatically reflected. These tasks and other schedules on Ops I can be checked and edited in a list format for each user.
With regard to schedules displayed in the “Resource-specific scheduling function”, restrictions on the groups and users displayed to each user can be implemented by configuring management-relationships between user groups.

This section describes the following. Items (2) through (4) describe the process for adding schedules.

(1) Configuring the “Resource-specific scheduling function” window

A description of the composition of the [Resource-specific scheduling function] window is shown below.

Components Description
Operation button Use to add or delete schedules.
  • Add schedule:
    The [Add Schedule] window appears, from which you can add schedules. For a description of the [Add Schedule] window, see "(Table) Input fields on “Add Schedule” window and “Edit Schedule” window".
  • Delete schedule:
    The [Delete Schedule] window appears, from which you can delete schedules. Enabled by selecting resource-specific schedules from the [Resource-specific schedule list]. Schedules added using the "Work item management function" or workflow tab cannot be deleted.
Resource-specific schedule list Displays users, the skills of users and schedules.
  • Move the cursor over the schedule to display the [Title], [Start], [End] and [Id].
  • Double-click on a schedule to display the [Edit Schedule] window, from which you can edit the schedule. The contents of the [Edit Schedule] window are the same as on the [Add Schedule] window. For details, see "(Table) Input fields on “Add Schedule” window and “Edit Schedule” window".
  • If schedule times overlap, the schedules are displayed stacked vertically.
  • Up to 1,000 names can be displayed in the name column.
  • If you have configured a management relationship between user groups, the users in those groups will be displayed in the name column.
  • Regardless of management relationships between user groups, your own schedule will be displayed on the top row of the [Resource-specific schedule list].
Skills description Move the cursor over a skill to display a description of that skill.
Search window Enter keywords such as user names or the names of skills and click the Magnifying glass icon to perform a filtered search within that schedule.
Change display size Click the button to change the row height in the resource-specific schedule list.
Switch display button Use this button to switch the resource-specific schedule list between displaying by day, week or month.


(2) Adding schedules from the “Resource-specific scheduling function” window

Click the [Add Schedule] button on the [Resource-specific scheduling function] window, enter the required information on the [Add Schedule] window and then click the “OK” button to add user-originated schedules. Double-click on a schedule to display the [Edit Schedule] window, from which you can perform edits.
Details of the input fields for the [Add Schedule] window and [Edit Schedule] window are shown below.

Name No Schedule name
The number of characters allowed is from 1 to 256.
Status No Schedule status
This item is displayed for reference only when adding schedules, and is displayed as [Not started yet] by default. The following statuses can be specified when editing.
Status: Not started yet, In progress, Pending, Closed
Work Item Name No Name of the work item
For schedules added using the "Work item management function", the [Name] of the work item is displayed. This item is displayed on the [Edit Schedule] window and is displayed for reference purposes only.
Description No Schedule description
Planned Start Date Yes The planned start date
Specify a date from 01/01/1901 to 12/31/2098
Planned End Date Yes The planned end date
Specify a date from 01/01/1901 to 12/31/2098 Can only be specified to a date within one year from the planned start date.
Planned Start Time No The planned start time
Specify a time from 00:00 to 23:59.
Planned End Time No The planned end time
Specify a time from 00:00 to 23:59.
Actual Start Date No The day on which the schedule actually began
Specify a date from 01/01/1901 to 12/31/2098
Actual End Date No The day on which the schedule actually ended
Specify a date from 01/01/1901 to 12/31/2098 Can only be specified to a date within one year from the actual start date.
Actual Start Time No The time at which the schedule actually began
Specify a time from 00:00 to 23:59.
Actual End Time No The time at which the schedule actually ended
Specify a time from 00:00 to 23:59.
Progress No Schedule progress
Specify a value from 0 to 1000.
Time Zone No Select a time zone.
Assigned Group No Click the Magnifying glass icon and select the assigned group for the resource-specific schedule on the [Assigned Group] window.
Assigned Users Yes Click the Magnifying glass icon and select the assigned agent for the resource-specific schedule on the [Candidate] window.
Operation Time No Enter the time required for the work task.
There are fields for inputting [hrs] and [mins]. For the [mins] field, specify a value from 0 to 60. If 60 is specified, the [hrs] field will display as 1 and the [mins] field will be reset to 0.

[Select Assigned Group]

Assign groups on the [Assigned Group] window. The [Assigned Group] window is displayed by clicking the Magnifying glass Magnifying glass icon under [Assigned Group] on the [Add Schedule] window.
Select a group that you want to assign to a work task from the list of groups displayed on the [Assigned Group] window and click the “Assign” button to assign that group accordingly. If [Assigned Users] is selected first on the [Add Schedule] window, only the group to which the selected agent belongs will be displayed.


[Select Agent]

Assign agents from the [Candidate] window. The [Candidate] window is displayed by clicking the Magnifying glass Magnifying glass icon under [Assigned Users] on the [Add Schedule] window.
The [Candidate] window displays users, groups to which the users belong and the users’ schedules.
Click a user that you want to assign to a work task from the displayed list of users and then click the “Assign” button to assign that agent accordingly.
To display users on the [Candidate] window, you must first complete the process described in “Configuring management relationships between groups”. By doing this, the group to which you yourself belong, along with the users belonging to groups managed under this setting, will be displayed on the [Candidate] window.
If [Assigned Group] has been selected first, users who belong to the selected assigned group and those who belong to groups for which a management relationship has been configured will be displayed.



(3) Adding schedules using the “Work item management function”

Schedules created using the “Work item management functions” are automatically reflected in the “Resource-specific scheduling function”. The schedules will be displayed in the rows for the users who have been assigned as [Assigned Users] in the [Resource-specific schedule list].
Schedules reflected in resource-specific schedules must meet the following conditions.

  • Users are assigned to [Assigned Users]
  • The user assigned to [Assigned Users] belongs to a group where management relationships between user groups are configured

Double-click on a schedule to check the same information as in “(Table) Input fields on “Add Schedule” window and “Edit Schedule” window” and to edit it. Work items for which the [Planned Start Date] on the schedule is within one week of the current date can be edited.
The items that can be edited are the following items in “(Table) Actual Results tab items” for the “Work item management function”.

  • Status
  • Actual Start Date
  • Actual End Date
  • Actual Start Time
  • Actual End Time
  • Progress
  • Time Zone
  • Operation Time

There are differences in the names of items in the “Resource-specific scheduling function” and “Work item management function”. Details are shown below.

Schedules added using the “Work item management function” cannot be deleted using the “Resource-specific scheduling function”. Use the “Work item management function” to delete these schedules.

(4) Schedules added on the workflow tab

By assigning an agent to each step of a workflow from the workflow tab, the schedule will be automatically reflected in the “Resource-specific scheduling function” where it will be displayed in the rows for those users assigned as [Assigned Users] in the Resource-specific schedule list.
Double-click on a schedule to check the same information as in “(Table) Input fields on “Add Schedule” window and “Edit Schedule” window” and to edit it.
Schedules added using the workflow tab cannot be deleted using the “Resource-specific scheduling function”.

(5) Configuring management relationships between groups

To display users on the [Candidate] window under [Assigned Users], you must first configure the management relationships between groups on the [Add Schedule] window. Doing this will display the group to which you belong, along with the users belonging to groups managed under this setting. The method for configuring management relationships between groups is shown below.

1. Assign users to groups on the [System Configuration] window to form groups of users.
2. Select the groups that you want to configure the management relationship for on the [System Configuration] window and then, on the [Relate Group] window under [Related Groups], set the [Relation Type] for the relevant groups to [Manage] or [Managed].
The management relationship can also be set to [Manage/Managed]. For example, by setting the relationship of a group that has been set to [Manage] to [Managed] on the [Relate Group] window, the management relationship can be set to [Manage/Managed]. Or, you can also double-click the name of the relation type of a group that has been set to [Manage] or [Managed] on the list of groups under [Related Groups] to set the management relationship to [Manage/Managed].
