4.4.3 Viewing search results

This subsection describes the operations you can perform in the List of item search results window, and how to interpret the window contents. The following figure shows the List of item search results window.

(1) Display order

Items in the List of item search results window are listed in descending order by registration date and time. This also applies to the results of a simple search.

(2) Number of displayed items

The number of displayed items and the total number of matches are shown. If the number displayed on one page is 1,000 but the total number of matches is 2,500, the first page will show the numbers in the format 1-1000/2500. Note that the number of search results to be displayed depends on which window you search from.

When searching from the simple search area: The List of item search results window can display a maximum of 100 search results. If a search returns more than 100 results, you can view the other search results by using the page-turn anchor to navigate the pages.
When searching from the Specify search conditions - Item-common element window or the Specify item search conditions window: The number of search results shown is determined by the value specified for Number of search results displayed per page in the Specify search conditions - Item-common element window or the Specify item search conditions window. When a search returns more than the specified number of results, you can view the other search results by using the page-turn anchor to navigate the pages.

(3) Information displayed from anchor text

You can display additional information by clicking the following anchor text in the List of item search results window:

Title: When you click the title of an Item, the View Item window for that Item appears.
Person in charge: When you click the name of the user or role that is responsible for the Item, the User details or Role details window for the user or role appears.

(4) Operations in the List of item search results window

The following describes the operations you can perform in the List of item search results window.

(a) Menus

Search again

Displays the Specify search conditions - Item-common element window or the Specify item search conditions window with the criteria used for the original search filled in.

If you search again after a simple search, the keywords you entered in the simple search area appear in the Search with this keyword area of the Specify item search conditions window. In this case, Number of search results displayed per page will show the default number of items to display.

You can then refine the search by adding new search criteria.

CSV

Outputs the Items selected in the List of item search results window to a CSV file. For details about how to output Items to a CSV file, see 4.9 Outputting Item information to a CSV file.

Batch Operation

You can change the status of multiple Items selected in the List of item search results window. This menu appears only if batch operations on Items are enabled. For details about how to perform batch operations, see 4.6.5 Performing batch operations on Items.

Approve Items: Authorizes the Items selected in the List of item search results window as a batch. This changes the status of the selected Items to Acknowledged^#.
Close Items: Closes the Items selected in the List of item search results window as a batch. This changes the status of all the selected Items to Close^#.
#: These are the default status names.

Close

Closes the List of item search results window.

(b) Context menu

A context menu appears when you right-click certain elements in the List of item search results window. The following table lists the commands in this menu.

Item title	View item	Displays the View Item window in which you can view detailed information for the Item.
	History display	Displays the History display window for the Item.
	Show progress	Displays the Show progress window for the Item.
	Work status display	Displays the Work status display window for the selected Item.
Person in charge	Details	Displays the User details or Role details window for the person in charge of the Item.
	List of roles	If the person in charge is a user, this command displays the List of roles window showing a list of roles to which the user belongs.
	List of members	If the person in charge is a role, this command displays the List of members window for the role.

(c) Page-turn anchors

When the number of search results exceeds the number to be displayed per page on the List of item search results window, you can view the other results by using the page-turn anchors to navigate through the pages. These anchors are described in the following list:

: First page: Click this anchor to display the first page.
: Previous page: Click this anchor to display the previous page.
: Next page: Click this anchor to display the next page.
: Last page: Click this anchor to display the last page.
Notes:: If you turn the page after adding, deleting, or editing an Item, the results might no longer match the original search results. Furthermore, after you turn the page, the page might show 0-0/0 with no Items displayed. In these situations, perform the search again.
