4.9 Outputting Item information to a CSV file

In the List of item search results window, you can output detailed information about Items in the search results to a CSV file (called a detailed Item information file).

Only the following users can perform these operations:

If the option to set view permissions for individual Items is enabled for the target process work board, the user can only work with Items for which he or she is an Item view permissions owner.

To output detailed Item information to a file:

  1. In the List of item search results window, select the Item or Items for which you want to output detailed information.

    For details about how to display the List of item search results window, see 4.4.1 Specifying search conditions.

    You can select multiple Items. Select an Item by selecting the check box associated with the Item. You can select all listed Items by selecting the check box in the column header. If you clear the check box in the header, all the selected check boxes are cleared. The following figure shows the List of item search results window.

  2. From the menu, select CSV and then Without extended item or With extended item.

    A dialog box appears from which you can output detailed information about the selected Items to a CSV file. If you selected Without extended item in the menu, the output information does not include extended items. If you selected With extended item, extended items are output to the file.

  3. Specify the output destination for the CSV file.

    The CSV file is output to the location you specified.

    The selection codes for selectable elements are converted to their display names as defined in the Definition file for the Item search item form. The information output to the second line of the CSV file in double-quotation marks (#"system-ID","system-name","process-work-board-ID",...) is always output in this format regardless of whether the Item form has been customized.

If you want to output information from the next page of search results to a CSV file, display the next page by clicking Next page in the List of item search results window and then return to step 1.

Note:
  • Linefeed characters are converted to half-width spaces when Item information is output to a CSV file. Each double-quotation mark (") is converted to two consecutive double-quotation marks ("") in the output file.

  • To output Items that span multiple pages of search results, you must display each page separately and output the results to a CSV file.

  • If you turn the page after adding, deleting, or editing an Item, the search results might no longer match the original search results. If you want to output retrieved Items to a CSV file, we recommend that you do so during a lull in Item updating, in order to prevent duplicate or missing Items.

  • If the information to be output includes characters that are mapped with UTF-8 but that are not mapped with the character set used in the operating environment, those characters are replaced with question marks (?) in the CSV file output.
