4.6.3 Recalling Items

Even if you do not have access permissions to an Item whose status has been transitioned, you can return the status and person in charge of an Item to their pre-transition state. This is called recalling an Item. To allow an Item to be recalled, you must first specify a setting in the process work board. For details about the setting required to allow an Item to be recalled, see the description of Settings for the recall item function in 3.5.1 Adding process work boards.

The following users can perform the operations described in this section:

If the option to set view permissions for individual Items is enabled in the target process work board, the user can only work with Items for which he or she is an Item view permissions owner.

Notes:
  • Only Items whose status has transitioned can be recalled.

  • The target Item cannot be recalled if it was edited or escalated after transitioning to its current status.

  • Stored Items cannot be recalled.

  • The target Item cannot be recalled if it transitioned to its current status due to being recalled or sent back.

Organization of this subsection

(1) Recalling an Item

To recall an Item:

  1. In the list of Items in the main window (Item list), select the Item you want to recall.

  2. From the menu in the main window (Item list), choose Action, and then View item.

    The View Item window appears. Check the contents of the Item you want to recall.

  3. From the menu in the View Item window, choose Action, and then Recall item.

    A dialog box appears, asking you to confirm whether you want to recall the item.

  4. Click OK.

    The Item will be recalled.

Note

There are three other ways to recall an Item:

  • In the list of Items in the main window (Item list), select the Item you want to recall, and then choose Action and Recall item from the menu.

  • In the list of Items in the main window (Item list), right-click the title of the target Item, and then choose Recall item.

  • Click the Recall Item icon ([Figure]) displayed in the Item preview area of the Main window (Item list).

(2) Elements changed when an Item is recalled

When an Item is recalled, the following elements are changed:
