4.5.1 Creating Items in the New item window

This subsection describes how to create an Item in the New item window. Only the following users can perform these operations:

(1) Creating Items

To create an Item:

  1. In the list of process work boards in the main window (Item list), select the process work board in which you want to create an Item.

    The process work board you select must be in Operating status.

  2. From the menu, select New and then New item.

    The New item window appears. The elements in the New item window depend on the type of process work board you selected. The following figure shows the New item window as it appears for the incident management process. Note that the process names are the default names. They might have been given different names in customized environments.

  3. Enter the Item information.

    You must enter information in the Title, Status, and Person in charge fields. You cannot select a person in charge until you select a status. As the person in charge, you can select a role, a member who belongs to a role, or a user name. Note that the Person in charge field might contain a pre-set value. This pre-assigned person in charge can be changed. For details, see Entering the person in charge below.

    Clicking Details displays the User details or Role details window. Clicking List displays the List of members or List of roles window.

    If you select the Select role member check box, you can select the name of a member who belongs to a role but can no longer select the role itself.

    You can display a list of predefined options by clicking the [Figure] button. Some elements in the Item form might be linked to others. In this case, the entries in the list will change depending on the value you selected in the related element.

    Elements marked with an asterisk (*) are mandatory. You must enter values for these elements when you close the Item.

    The Calendar button displays a calendar in which you can select the date on which the incident occurred or the Item was registered. Moreover, the current time# that you select the date on the Calendar window is automatically input.

    When you click Settings, a Link setting window appears as shown in the figure below. In these windows, you can enter the URLs that lead to Related information, Hardware information, and Related item(s).

    The current time which is automatically input is the New item window was opened. But if the time has been already input, the time is not updated automatically.

  4. Select Action and then Attach file from the menu, or click the Attachment button.

    The Attach file window appears. Select the files to attach to the Item as needed.

  5. From the menu, select Register.

    The Item is created, and you are returned to the main window (Item list).

    The Process, System, Item ID, Inter-process ID, Registrant, and Registration date and time fields are filled in automatically.

Entering the person in charge

If Initial person in charge of status has been set in the process work board to which the Item is to be registered, a person in charge will be automatically set when the status is entered. If Initial person in charge of status has not been set, the value that is set in the Person in charge field depends on the number of users and roles who have edit permission for the status, as shown in the following table:

  • When you select the Select role member check box, the responsiveness of the window might be affected if there are too many members in the pull-down menu. Make sure that the total number of roles, members, and users you can select as the person in charge does not exceed 100 or thereabouts.

  • If you select the Select role member check box and attempt to select a member of a role as the person in charge with the scroll wheel, you might inadvertently select a role name. If this occurs, you cannot display role information or register the role as the person in charge. Display the pull-down menu for selecting the person in charge, and select a role member from the list.

  • If the option to set view permissions for individual Items is enabled for the target process work board, in Owner of view permissions for individual Items, enter the user or role who is to have permission to view the Item. You can change Owner of view permissions for individual Items to a display name of your choice. The following figure shows an example of the New item window with view permissions for individual Items enabled:

(2) Operations in the New item window

The following describes the operations you can perform in the New item window.

(a) Menus

Register

Registers the Item.

Action
Attach file

Attaches a file to the Item. When you click this menu command, the Attach file window appears.

Close

Closes the New item window.
