4.2.4 List of Items

The list of Items in the main window (Item list) displays the Items registered in JP1/Service Support, in descending order of registration date and time. If you are using the Item Management window function, the list of Items only displays Items that were registered within the time frame set for the function. If you have set view permission for individual Items in the target process work board, the list of Items only displays those Items for which the user has view permission.

The Items displayed in the list of Items differ depending on what is selected in the list of process work boards in the main window (Item list).

If you select Process work board at the top of the tree:

The list shows Items that are registered in process work boards with the status Operating or Stopped.

If you select a target system:

The list shows Items that are registered in process work boards with the status Operating or Stopped in the selected target system.

If you select a process work board:

The list shows Items that are registered in the selected process work board.

You can sort the list of Items by a particular column (other than I, P, C, or R) by clicking the column header. When you use a column as the sort key, an icon appears in the column header indicating whether the column is sorted in ascending order (▲) or descending order (▼).

An Item whose deadline has passed but has not yet closed is highlighted in red.

The following table describes the elements displayed in the list of Items.

Description

Priority

The priority of the Item, as either Standard, Urgent, or Very urgent.

Status

The current status of the Item. For details about Item statuses, see 3.6 Assigning access permissions.

Editing status icon

An icon that indicates the editing status of the Item. There are three icons, as shown below. If you sort the list by editing status in ascending order, Items that are not being edited are listed first. In descending order, Items that are being edited appear first.

  • [Figure]: Item icon

    Indicates that the Item is not being edited.

  • Editing status icons

    These icons indicate that an Item is being edited. There are two types:

    [Figure]: Indicates an Item that you are currently editing. You can edit Items in this status.

    [Figure]: Indicates that another user is currently editing the Item. You cannot edit an Item that is being edited by another user.

    [Figure]: Indicates a stored Item. You cannot edit this Item.

Title

The title of the Item. You can preview an Item by clicking its title. By double-clicking the title, you can display detailed information about the Item in the View Item window.

Person in charge

The user or role who processes the Item. If the person in charge is a user, clicking the user name displays the User details window. If the person in charge is a role, clicking the role name displays the Role details window.

Deadline

The deadline of the Item.

Update date and time

The date and time when the Item was last updated.

System

The name of the target system in which the Item is registered.

Process

The name of the process in which the Item is registered. The display name of the process is shown.

Item ID

An ID that uniquely identifies the Item within the JP1/Service Support framework. The Item ID is a combination of the process work board ID assigned at work board creation and the serial number of the Item in the context of the process work board.

Registration date and time

The date and time when the Item was registered in JP1/Service Support.

I (Incident)

An asterisk (*) is displayed if the Item was created in the incident management# process or was escalated to incident management#. Clicking the asterisk displays the Status of related item window in which you can view a list of related Items.

P (Problem)

An asterisk (*) is displayed if the Item was created in the problem management# process or was escalated to problem management#. Clicking the asterisk displays the Status of related item window in which you can view a list of related Items.

C (Change)

An asterisk (*) is displayed if the Item was created in the change management# process or was escalated to change management#. Clicking the asterisk displays the Status of related item window in which you can view a list of related Items.

R (Release)

An asterisk (*) is displayed if the Item was created in the release management# process or was escalated to release management#. Clicking the asterisk displays the Status of related item window in which you can view a list of related Items.

Process names are the default names. They might be given different names in customized environments.

You can also display a context menu by right-clicking certain elements in the list of Items. The following table lists the commands displayed in the context menus.

Item title

Edit item

Displays the Edit item window in which you can edit the selected Item.

Cancel edit

Removes an Item from Being edited status. Doing so changes the icon of the Item from the editing icon to the ordinary Item icon.

This command can only be used by the user who placed the Item in editing status, users who belong to the process work board management role, and process work board managers.

Recall item

Even if you do not have access permissions to an Item whose status has been transitioned, you can revert the status and person in charge of an Item to its pre-transition state.

Inherit Content to Create an Item

Displays the Specify the registration target window. When you select a process and click OK, a New item window appears containing the Item information of the Item selected in the list of Items. You can then use this information as the basis for a new Item to be created in the process you selected on the Specify the registration target window.

Escalation

Displays the Specify an escalation destination window in which you can escalate the selected Items.

History display

Displays the History display window in which you can view the history of the selected Item.

Show progress

Displays the Show progress window, in which you can check the progress of the selected Item.

Work status display

Displays the work status display window in which you can trace the progress of work carried out on the selected Item.

View item

Displays the View Item window in which you can view detailed information about an Item.

Display the Print Window

Displays the print window in which you can print an Item.

Display status of related item

Displays the Status of related item window in which you can view Items related to the selected Item.

Delete item

Deletes the Item.

Person in charge

Details

Displays the User details or Role details window in which you can view detailed information about the person in charge.

List of roles

If the person in charge is a user, this command displays the List of roles window showing a list of roles to which the user belongs.

List of members

If the person in charge is a role, this command displays the List of members window in which you can view a list of members who belong to the role.

Note that Items in the Item storage database appear in the list of Items in the main window (Item list), in addition to those in the Item management database. Stored items are shown in blue and have a distinct editing status icon. The following figure shows the main window (Item list) with stored Items displayed.
