2.6.4 Cautionary notes on sending email (Windows only)

Note the following when sending email.

Deleting sent email
The email sent by the email sending job remains in Sent Items of Outlook. This email data might use a large amount of system disk space on the mail server or on the computer where email is sent. Activate Outlook with the profile for the mail system linkage on a regular basis to delete the email remaining in Sent Items.
Note that before you delete email from Sent Items of Outlook, you must stop the JP1/AJS3 mail monitoring process or the JP1/AJS3 Mail service.

Creating the mail address map file (Outlook 2000 only)
When you use Microsoft Mail as a mail server to send email, Microsoft Mail may not be able to differentiate similar mail addresses (such as Hitachi and Hitachi2), fail in resolving the send destination mail address, and fail in sending the email. In such a case, log data is output to the following file:

File storing the log
JP1/AJS3 -installed-folder\log\schedule\jpomlapisend[1|2].log#
#
If you have configured multiple scheduler services, replace \log\schedule with \log\schedule\scheduler-service-name.

Contents of the log
Send Address(AMBIGUOUS_RECIPIENT):Hitachi TO:
To prevent this from happening, create a mail address map file. By creating this file, the system can compare the address against the file. If the address matches an address in the file, the system can send email using the address in the file.
To create a mail address map file, use the JP1/AJS2 mail linkage mail address map tool. This tool is stored in the following folder:

Folder storing the JP1/AJS2 mail linkage mail address map tool
JP1/AJS3-installed-folder\bin\jpomladdress.exe
To send email to the Microsoft Mail mail server, use the JP1/AJS2 mail linkage mail address map tool to set the mail address on the manager host or the agent host that actually sends email.
This tool is also available if you are using a mail server other than Microsoft Mail.

Action to take when email transmission fails
If email fails to send due to an invalid mail address or some other reason, and the server returns an undeliverable message, an equal sign (=) might be added to the beginning of the destination address of the email that was not sent.
This mark indicates that two methods are used to resolve the send destination email address (the system attempted address resolution using the address with = and the address without =). If the server returns an undeliverable message with =, we recommend that you use the JP1/AJS2 mail linkage mail address map tool to create a mail address map file.

Formats that can be specified as recipients in the email sending job
The following table shows the formats that can be used to specify recipients.

Table 2-10 Formats that can be specified as recipients in the email sending job
