4.6.1 Editing Item information

You can edit the person in charge, severity, and other parts of Item information. In addition, you can recall or send back Items whose status has been transitioned.

Only the following users can perform these operations:

If the option to set view permissions for individual Items is enabled for the target process work board, the user can only work with Items for which he or she is an Item view permissions owner.

If you set status-based permissions, the user must have the appropriate permission for the status of the Item you want to edit.

Note that you cannot edit stored Items.

Organization of this subsection

(1) Editing Item information

To edit Item information:

  1. From the list of Items in the main window (Item list), select the Item you want to edit.

    You cannot edit an Item that is being edited by another user, or is in the process of being escalated.

  2. From the menu, select Action and then Edit item.

    The Edit item window appears. The following figure shows the window.

  3. Edit the Item information.

    You cannot change the values in the Process, System, Item ID, Inter-process ID, Registrant, Registration date and time, and Update date and time fields.

    If you enter the current status in the Work status field when you register an Item, you can track the work status of the Item over time in the Work status display window.

    Clicking Details displays the User details or Role details window. Clicking List displays the List of members or List of roles window.

    If you select the Select role member check box, you can then select a member who belongs to a role but can no longer select the role itself.

    You can display a list of predefined options by clicking the [Figure] button. Some elements in the Item form might be linked to others. In this case, the values in the list will change depending on the value you selected in the related element.

    Elements marked with an asterisk (*) are mandatory. You must enter values for these elements when you close the Item. For details about changing the status, see 4.6.2 Changing the status of an Item.

    The Calendar button displays a calendar in which you can select a date. Moreover, the current time# that you select the date on the Calendar window is automatically input.

    When you click Settings, the Link setting window appears as shown in the figure below. In this window, you can enter the URLs that lead to Related information, Hardware information, and Related item(s).

    The current time which is automatically input is the Edit item window was opened. But if the time has been already input, the time is not updated automatically.

  4. Select Action and then Attach file from the menu, or click the Attachment button.

    The Attach file window appears. Select the files to attach to the Item as needed. You can delete a file that is attached to the Item by clicking the Cancel button.

  5. From the menu, select Register.

    The Item information is updated, and you are returned to the main window (Item list).

Note:
  • If you select the Select role member check box and attempt to select a member of a role by using the scroll wheel, you might inadvertently select a role name. If this occurs, you cannot display role information or register the role as the person in charge. Display the pull-down menu for selecting the person in charge, and select a role member from the list.

(2) Operations in the Edit item window

The following describes the operations you can perform in the Edit item window.

(a) Menus

Register

Registers the Item.

Send Back

Sends back the Item.

Action
Attach file

Attaches a file to the Item. When you click this command in the menu, the Attach file window appears.

Close

The Edit item window closes.

(b) Context menu

A context menu appears when you right-click certain elements in the Edit item window. The following table lists the commands in this menu.
