2.3.3 Creating profiles

JP1/AJS3 logs in to linked mail systems via Outlook. For this reason, you need to create a profile in advance.

To create a profile, log on to Windows using either of the following accounts:

When using a service to link with the mail system

The account set for (operated by) the JP1/AJS3 Mail service

When linking with the mail system from the desktop

The account for logging into Windows

In addition, when creating a profile, specify a unique profile name. For details, see 2.3.4 Setting up the environment for the mail system linkage.

Organization of this subsection

(1) Creating a profile and performing checks after creating the profile

  1. In the Windows Control Panel, choose the Mail icon. Alternatively, from the Windows Start menu, choose Run, enter control "Microsoft-Office-installation-folder\mlcfg32.cpl" in the dialog box that opens, and then click OK.

    The Mail dialog box appears.

    The Mail dialog box does not appear if a profile has already been created. In that case, open the Mail Setting - profile-name dialog box and then click Profiles to display the Mail dialog box.

  2. In the Mail dialog box, click Add to display the Email Account dialog box. Follow the instructions in the dialog box to create a profile.

    In the screen for specifying the server type, select the mail system you want to use.

  3. Make sure that you can start Outlook.

  4. Set Outlook as the default email program for the system.

    For details on how to do so, see the Outlook Help.

    An attempt to execute the email sending job or email reception monitoring job before this setting has been specified fails, causing Outlook to display the following message in a dialog box: Please run Microsoft Outlook and set it as the default mail client.

  5. Make sure that you can send and receive emails by using Outlook.

    Without starting JP1/AJS3, verify that both the email sending processing and the email reception processing in Outlook work correctly. When making the verification, make sure that the following conditions are the same as the conditions for the mail system linkage function used in JP1/AJS3:

    • Computer used

    • Profile used

    • Email recipient

    • Sender, subject, and body of the email

    • Account that Outlook uses to log on to the mail system

    Note that you must verify that both email sending and reception work correctly even if you execute only the email sending job or the email reception monitoring job.

    If Outlook is being used offline, open the File menu of Outlook, and then switch the Outlook mode from offline to online.

    When in offline mode, Outlook is not connected to any mail server. As a result, the emails sent by the email sending job might remain in the Outbox of Outlook or the running email reception monitoring job might be unable to detect emails that are being received.

  6. Make sure that the following types of dialog box do not appear when you start Outlook or use Outlook to send and receive email:

    • Dialog boxes that prompt the user to enter a server name, user name, or password.

    • Dialog boxes that require some kind of action by the user such as clicking a button.

    Automatic operation that involves mail system linkage is not possible in an environment where such a dialog box is displayed. If this situation arises, review and correct the profile settings so that the dialog box is no longer displayed.

(2) Using the mail system linkage function with a different user account

Assume that you need to send email from another user's account while the administrator is absent. In order to allow different users to use the desktop-based mail system linkage function, create a profile having the same name and contents for each user account. This enables you to modify the sender of mail without modifying job definitions or the current profile.

Suppose, for example, a user named mail master usually sends mail using an email sending job. Usually, the mail master logs on to Windows to operate the JP1/AJS3 mail monitoring process. You can create a profile with the same name as the mail master for the administrator account, so that the administrator can take over when the mail master is absent. The administrator can then log on to Windows and read that profile to send mail from the administrator account. However, we do not recommend you use this method in a system where email sending jobs and email reception monitoring jobs are used in the same environment, because an email that an email sending job sends from a different account will not match the sender specified in the conditions for the email reception monitoring job.
